Description

SUMMARY: Provide administrative support to the Administrator and/or Department Managers. Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Prepare and edit correspondence, communications and other documents.
  • Conduct research, assemble and analyze data to prepare reports and documents.
  • Create and modify documents using a variety of computer programs including Microsoft Word, Excel, Publisher and Adobe.
  • File and retrieve documents and reference materials.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, scanning and filing.
  • Maintain and distribute monthly calendar, as assigned.
  • May prepare weekly accounts payable for transmission to home office.
  • Support staff in assigned project based work.
  • Meet and greet clients and visitors
  • Answer and manage incoming calls.
  • May assist with patient satisfaction activities including phone surveys, patient issue concerns and responses.
  • Assume responsibility for credentialing activities with managed care contracts for employed providers and mid-level practitioners to include maintaining files, completing applications, etc.
  • Provide notary services to hospital staff as requested.
  • Minute taking for a variety of meetings as requested and dissemination of minutes to appropriate persons.
  • May prepare and distribute Hospital newsletter via electronic methods.
  • Maintains discretion and confidentiality in communications.
  • Responsible for the implementation of and compliance with all safety policies and procedures within the department.
  • Miscellaneous duties as assigned requested and/or required.
Requirements

QUALIFICATIONS:
  • Knowledgeable of standard office administrative practices and procedures.
  • Knowledge of Microsoft Office and telephone protocol.
  • Duties require professional verbal and written communication skills and the ability to type 50 wpm.
  • Advanced knowledge of HIPAA laws and regulations.
EDUCATION and/or EXPERIENCE:
  • High School Diploma/GED
  • 1 to 2 years of clerical experience, preferred
LANGUAGE/READING SKILLS:
  • Communicate in English verbally and in writing.
MATHEMATICAL SKILLS:
  • Must have basic mathematical capabilities.
  • Must be proficient in Microsoft Excel and Microsoft Word

REASONING ABILITY: Employee responds to unusual or varied situations that are not covered by existing standards, procedures and precedents.

WORK ENVIRONMENT: Employee is regularly required to stand, walk, sit, ascend and descend stairs, possess ability to handle, finger or feel objects, tools or controls; reach with hands and arms.

Employee must frequently be able to lift 25 pounds from the floor to waist level. Specific vision abilities include close vision and the ability to clearly focus vision.
